In preparing your press release, keep these points in mind: 1. Media representatives are busy people, therefore a one-page brief with all your details is the ideal length. You can attach separate pages for the aims of the day and statistics to give valuable background information to include in the story. 2. Choose a catchy, easy-to-read heading. 3. Define the purpose of INDD and your event: the why, what and how. 4. Define who your target audience--is it a specific group or the general community? 5. Select the type(s) of media to suit the needs and population group you are seeking--i.e., radio, newsletter, bulletin boards, newspaper, t.v., etc. 6. When do you want people to know about your event? a) Remember timelines. If you are targeting health profesionals and community health workers,they generally need more notice than the community at large. A lead time of 2-3 weeks is usually sufficient for most media, except for magazines which can require several months' lead time. b) Date the press release at the top of the page under your group's logo or name and address, or put "for immediate release." 7. Check and double check your sources, spelling of names and contact numbers before printing, faxing or e-mailing. Accuracy is VERY important! 8. If necessary, select a spokesperson or media contact to speak about INDD, your event, and your group's aims and activities and to act as media liaison. 9. Consider in advance the way you would like INDD, your event and your group to be represented pictorially, and if possible include a clear black and white photograph or other graphic to accompany the text of your release. Some examples: a picture of group members smashing a scale or passing out leaflets; the INDD scale logo or other illustration; or a group of size- positive, anti-diet slogans on buttons. 10. Use your local media contacts and where possible expand your mailing list to other suitable media representatives. Follow up any inquiries and provide additional material, statistics or quotes where needed. Thank media representatives and programs which have been helpful and establish connections for next year.
